When you visit our website and use our services, you trust us with your personal information. We take your privacy very seriously. In this privacy notice, we describe our privacy policy. We seek to explain to you in the clearest way possible what information we collect, how we use it and what rights you have in relation to it. 1. Who are ‘we’?
In this policy, 'we', 'us' and 'our' refer to the Regional Moorland Groups (RMG), the data controller for the personal data described here. We are registered with the Information Commissioner's Office (ICO) under registration number ZB344699.
This policy applies to all personal data collected through our website and any related services, campaigns, surveys or communications.

2. What personal data do we collect?
Personal data is any information that identifies you, or that can be identified as relating to you. Depending on how you interact with us, we may collect:

your responses to surveys, consultations and campaigns, including your views on moorland management and rural issues
messages you send us by email, through our website or through social media
photographs you choose to send us

We do not ask for sensitive information, such as information about your health, religion or political affiliations. If a survey ever needs to ask for this kind of information, we will tell you clearly why and ask for your explicit consent first.
2.1 Children’s and young people’s personal data
We recognise the particular importance of protecting children's privacy. We do not knowingly collect personal information from children under the age of 16. If you believe a child under 16 has given us personal information, please ask a parent or guardian to contact us at info@regionalmoorlandgroups.com and we will delete the information and remove the child from any of our mailing lists.
3. How do we collect your data?
You give us most of the data we collect directly. We collect and process data when you:
sign up to our newsletter or mailing list
contact us by email, through our website or through social media
complete a survey, give feedback or take part in one of our campaigns
register for or attend one of our events
use or view our website, through cookies (see section 9)
4. How will we use your data?
UK data protection law requires us to have a lawful basis for each use of your personal data. We use your data:
To send you our newsletter and updates about our work, events, campaigns and surveys. We do this with your consent, which you can withdraw at any time.
To respond to your enquiries and messages. We do this because it is in our legitimate interests to reply to people who contact us.
To run surveys and campaigns and analyse the results. We do this with your consent when you choose to take part. Results are reported in aggregate, so individuals cannot be identified.
To organise events you have signed up to. We do this because it is necessary to provide the event you have asked to attend.
To understand how our website is used and improve it. We do this with your consent, given through our cookie settings.
To meet our legal obligations. For example, we may need to share personal data if required to by the police or another regulatory or government authority investigating suspected illegal activity.
We do not use your personal data to make decisions about you by automated means.
5. How we share your data
We do not sell your personal data, and we do not share it with other organisations for their own marketing.
We only share personal data with trusted service providers who help us run our work, and only as far as they need it to do so. These include:
our website host, Squarespace
the provider we use to send our email newsletter
IT support providers
organisations that help us run events, surveys or research projects
These providers act on our instructions and are required to keep your data secure and confidential. They are not allowed to use it for their own purposes.
Where we share survey or research results with other organisations, we only share aggregated or anonymised information that does not identify you.
5.1 International transfers
Some of our service providers, including our website host, are based outside the UK or store data outside the UK. Where this happens, we make sure appropriate safeguards are in place to protect your data, such as transfers to countries the UK recognises as providing adequate protection, or the UK International Data Transfer Agreement.
6. How do we store your data?
We follow industry standards on information security to protect your personal data, and we review how we handle it every year.
We keep personal data only for as long as we need it. We delete personal data where there has been no contact or interaction with us for 36 months. If you unsubscribe from our mailing list, we will keep only the minimum information needed to make sure we do not contact you again.
No method of sending or storing data over the internet is completely secure, so we cannot guarantee the absolute security of your personal information, but we take all reasonable steps to protect it.
7. Newsletters and updates
If you have signed up, we would like to send you information about our work, campaigns, events and surveys that we think you might be interested in.
You can opt out at any time by clicking the unsubscribe link at the bottom of any email, or by emailing info@regionalmoorlandgroups.com and asking to be removed from our list.
8. What are your data protection rights?

The right to rectification. You can ask us to correct information you believe is inaccurate, or to complete information you believe is incomplete.

The right to object. You can object to us using your personal data in certain circumstances, and you can always object to receiving our newsletters and updates.
The right to data portability. You can ask us to transfer the data you have given us to another organisation, or to you, in certain circumstances.
The right to withdraw consent. Where we rely on your consent, you can withdraw it at any time. This will not affect anything we did before you withdrew it.
The right to complain. You can complain to us about how we have handled your personal data (see section 11).

10. Changes to our privacy policy
We keep this privacy policy under regular review and publish any updates on this page. This privacy policy was last updated in October 2026.
11. How to make a complaint
If you are unhappy with how we have handled your personal data, you have the right to complain to us. Please email info@regionalmoorlandgroups.com or write to us at the address in section 8, giving as much detail as you can. You do not need to use any particular form or wording.
We will acknowledge your complaint within 30 days, look into it, and let you know the outcome without undue delay.
